Beginning March 2026, Microsoft will permanently disable Basic Authentication for SMTP AUTH in Exchange Online This authentication method, which transmits usernames and passwords in plain text, will no longer be supported As a result, any applications or devices relying on this legacy method must transition to OAuth 2.0 for continued access to Microsoft Exchange Online email services. For additional information refer to How We Are Preparing for Microsoft’s Phase Out of Basic Authentication in Exchange Online. Email Setup with Xerox Device Code Flow Workteam Email The supported account types are Outlook Only, Microsoft 365 Personal, Microsoft 365 Business or School. Pre-Setup for Microsoft 365 Business Or School Accounts Register The Printer For Oauth 2.0 Email For additional assistance, contact Support. If the email account that you wish to use to sign-in to the Xerox Device Code Flow Workteam Email application belongs to a business or a school, your Microsoft tenant administrator must consent to the Xerox Device Code Flow Workteam Email application by visiting https://www.xerox.com/oauth2-email-admin-consent . 2.After consenting to the Xerox Device Code Flow Workteam Email application, your Microsoft tenant administrator may also assign only one or more email accounts to the Xerox Device Code Flow Workteam Email application Contact your Microsoft tenant administrator on how this is accomplished. Access the Embedded Web Server For details, refer to Access the Embedded Web Server (EWS). Navigate to the Email setup section on the Embedded Web Server For details refer to Configure the Email SMTP Settings. Navigate to the Set Up OAuth 2.0 for Email Server . Click on Register and follow the instructions on the screen to register the printer for email. Under Email Setup section, for Primary SMTP Gateway, enter, smtp.office365.com for Microsoft 365 email accounts and smtp-mail.outlook.com for Outlook only accounts. For Primary SMTP Gateway Port, enter 587 . For SMTP Timeout, enter a number. For Reply Address, enter the email address that was used in Step 4. Check Always use SMTP default Reply Address . For Use SSL/TLS, select Required or Negotiate . For SMTP Server Authentication, select OAuth 2.0 . Select Save . After successful registration in Step 4 and Email setup, the printer is ready to send emails Note: To test connection, uncheck Always use SMTP default Reply Address Add a Recipient Email Address, select Send Test Email to Recipient and click Test . Note: The email account that will be used to authenticate with Microsoft shall be the Reply Address which is used for both user-initiated and device-initiated jobs such as Email Alerts, Fax Forwarding to Email (if available), and Fax Server. Note: TCP port 587 should not be blocked by the network. For additional assistance, contact Support.
