Overview

The address book can store email, server, fax, and Internet fax addresses Addresses can be stored for individuals, or groups containing multiple individuals. Note : Address Book entries can be managed at the control panel or in Embedded Web Server (EWS).  Access EWS For details, refer to Access the Control Panel or Embedded Web Services (EWS). Note : Individual entries must be configured before groups can be defined. Return to Top Return to Top Chain Dial creates a single fax recipient telephone number by adding two or more fax numbers together into a single number For example, an area code or extension number could be stored separately from the rest of the telephone number Access Chain Dial from the Address Book. Return to Top Depending on your network and device configuration, there are variety of different methods your can use to manage email addresses and fax numbers. Note : An Internet fax address is the email address of an Internet fax machine. You can configure the device to access an LDAP directory and a Public Address Book If both are configured, users are given the choice to use the LDAP directory or the Public Address Book. Return to Top Email addresses, internet fax addresses, and fax numbers are stored in the Public Address book. IMPORTANT: Internet fax address is the email address of an Internet fax device. Return to Top If you have many addresses to manage, you can create a list of addresses in a spreadsheet application, save it as a .csv file, and upload it to the device. The address book file must be in comma separated format (.csv) The device recognizes the second row in the .csv file as the first data entry The first row contains headings for the data in each column The default column heading names are: Name, Email Address, Fax Number, Internet Fax Address. On the touch screen, touch the Tools tab. Touch Setup and Calibration , touch Setup , then touch Add Address Book Entry . On the next screen, touch an available address in the scroll list. Touch Address Type , touch the desired address type, then touch Save Each address book type requires different settings. Touch each needed item in the list, enter the information using the alphanumeric keypad or touch screen keyboard, then touch Save . When all needed settings have been configured, touch Save to complete the address book entry. On the control panel, press the Machine Status button. On the touch screen, touch the Tools tab. Touch Setup and Calibration , touch Setup , then touch Add Address Book Entry . On the next screen, touch the needed address in the scroll list. Touch Delete Entry , then touch Delete to confirm. On the control panel, press the Machine Status button. On the touch screen, touch the Tools tab. Touch Setup and Calibration , touch Setup , then touch Create Fax Group Recipients . On the next screen, touch an (available) group in the scrolling list. On the next screen, touch the Group Name field, enter a name for the group using the touch screen keyboard, then touch Save . Touch the Speed Dial field, then enter the Speed Dial number for the desired individual using the alphanumeric keypad. Touch Add to this Group . Repeat steps 6 and 7 until all individuals have been added to the group. When all entries have been added, touch Save , then touch Close . On the control panel, press the Machine Status button. On the touch screen, touch the Tools tab. Touch Setup and Calibration , touch Setup , then touch Create Fax Group Recipients . On the next screen, touch the desired group in the scrolling list. Touch Delete , then touch Delete to confirm. On the touch screen, touch Fax . Touch Address Book . Touch List all public entries from the drop-down list. Touch Chain Dial . To add numbers do one of the following: Touch the desired speed dial entry from the scrolling list Touch the scroll arrows if necessary. Enter a number using the alphanumeric keypad. Touch the keyboard button, enter a number using the touch screen keyboard, then touch Save . Touch the desired speed dial entry from the scrolling list Touch the scroll arrows if necessary. Enter a number using the alphanumeric keypad. Touch the keyboard button, enter a number using the touch screen keyboard, then touch Save . Touch Add The numbers are added together in the Recipient List . Touch Save The combined number appears as a single recipient in the Recipient(s) list. Touch Close The fax can now be sent. LDAP Directory: If your network is connected to an LDAP server, you can configure the device to look up addresses from the LDAP directory. Public Address Book/Fax Address Book: If you do not have an LDAP server, to store fax machine phone numbers, Internet fax addresses, and email addresses on the device, you can use the Fax Address Book and the Public Address Book. LAN Fax Address Book: The LAN Fax feature has a separate directory for storing and managing addresses For details, refer to the print driver help. Access EWS For details, refer to Access the Control Panel or Embedded Web Services (EWS). In the Embedded Web Server, click the Address Book tab. In the Management area, click Download Template. Click Download in CSV format. Save the file to your computer. Access EWS For details, refer to Access the Control Panel or Embedded Web Services (EWS). In the Embedded Web Server, click the Address Book tab. In the Management area, click Export Template with Column Headings only. Click Download in CSV format . Save the file to your computer. Access EWS For details, refer to Access the Control Panel or Embedded Web Services (EWS). In the Embedded Web Server, click Address Book > Import . To import a new address book file, for Import Your Address Book File To locate your file in .csv format, click Choose File . Select the file Click Open . For First row of the .CSV file , select the appropriate option If you downloaded and edited a sample .csv file, select Column headings. Click Next . On the Import page, select the labels from your imported file that you want to map to the labels in the Address Book. Click Import . Access EWS For details, refer to Access the Control Panel or Embedded Web Services (EWS). In the Embedded Web Server, click the Address Book tab. In the Common Tasks area, click Add New Name . In the Common Settings area, edit the fields as needed To provide more detailed information, click Details . Click Save & Close . For the name, click Edit . In the Common Settings area, edit the fields as needed To provide more detailed information, click Details . Click Save & Close . For Management , click Delete All Names . Click OK .
